Frequently Asked Questions - Digital Studio

What is the Digital Studio?

The Digital Studio is located on the second floor of the Schaffer Library and consists of four unique spaces designed to support faculty exploration of existing and emerging technologies: a Faculty Computing Resource Center (FCRC), a ConnectIT Lab, a Production Booth/Studio, and Isolation Booth/Whisper Room.

Who supports these spaces?

These spaces are supported by Learning Technologies & Environments staff by appointment. Please contact helpdesk@union.edu or call xt. 6438 for assistance or to schedule one of these rooms.

How can I get help?

Each Learning Technologies & Environments staff member who works to support the Digital Studio has a specific skill set. Some are video experts, some work with graphics, while others focus on audio.  If you think you will need specific help please let us know ahead of time by calling xt. 6438 and we can set up a consultation by appointment.

Who can access/use these spaces and what are the hours?

Faculty/Staff

Faculty/Staff may use/schedule the Production Studio, Isolation Booth, or ConnectIT Lab during normal Schaffer Library business hours. Please note, instructional and research reservation requests made by faculty are given first priority. All requesters must meet the following criteria:

  • Union College full time employees
  • have an active Union College computer account
  • have an active Union ID card
  • completed Digital Studio training
  • be present throughout the scheduled event

Meetings must utilize the technology in the space. Scheduling repeating events is allowed on a limited basis, not to exceed the current term. Repeating events are vetted on a case-by-case basis after faculty requests are received at the beginning of each new term.  Please allow at least 72 business hours notice for all reservation requests.

Students

Students can utilize these spaces for individual projects, as long as they have a faculty or administrative staff member as a sponsor. The sponsoring faculty or administrative staff member needs to send an email to helpdesk@union.edu at least 72 business hours prior indicating:

  • his/her support of the student's project
  • the academic nature of the project (e.g., course title, senior project, event name/date, etc.)
  • if the sponsoring faculty or administrative staff member will be present while the student utilizes the Digital Studio space (and if so, if s/he has received training before)
  • desired Digital Studio space (i.e., Isolation Booth, Production Studio, ConnectIT Lab)
  • desired date(s) and time(s)

The trained faculty or administrative staff member sponsoring the student (or a member of the Learning Technologies & Environments (LTE) staff) must be present for the duration of time a student utilizes one of these spaces. If the sponsoring faculty or administrative staff member is unable to be present, the email must also include a request for a LTE staff member to be scheduled with the reservation. Please allow 72 business hour notice for all reservation requests. LTE will do their best to schedule an LTE staff member for the desired date and time during normal business hours (M-F, 9 a.m.-4 p.m.).

NOTE: All faculty/staff who are interested in using/scheduling any of the rooms within the Digital Studio (except the FCRC) must receive training on how to use the equipment. Once a faculty/staff member receives the appropriate training, s/he will be added to the card access list for the room and can use her/his Union College ID card to enter the room. Please contact Learning Technologies & Environments at helpdesk@union.edu or at xt. 6438 if you need training.

Faculty Computing Resource Center (FCRC)

All faculty have access to the FCRC and do not need to receive training to gain access. Union ID cards are required access to the FCRC. Faculty may stay within the FCRC after normal business hours, if needed.

Do I have to reserve these rooms? If so, how?

All rooms (except the FCRC) require a reservation and initial training before use. Please call Learning Technologies & Environments at xt6438 or send an email to helpdesk@union.edu with the following information:

  • Who is making the reservation
(please include if you are faculty/staff/student. If you are a student, please include the faculty or staff member who is sponsoring your use of the room.)

    (e.g., academic/course related, non-academic, etc.)
  • Date and time
  • Room requested
  • If you have received prior training or not for requested room
  • Any additional media/equipment/services you may need

I would like my entire class to utilize the rooms/resources within the Digital Studio. Is that something I can do?

Please contact Learning Technologies & Environments to discuss your ideas and needs for your class at least one week before you’d like to begin using the space(s). The spaces within the Digital Studio are not large and also require the trained faculty member (and/or a member of the Learning Technologies & Environments staff) be present during student usage. We ask that you do not bring an entire class to the Digital Studio without contacting Learning Technologies & Environments well in advance to discuss your options.

Do you have (X) software/equipment or can you get it?

If you know of a software package and/or equipment that will be well used in our Digital Studio space(s), then please let us know. We are happy to provide a wide variety of current software packages and equipment to help support faculty exploration of emerging technologies.

Can I leave my files in the Digital Studio?

You should backup your files before leaving the Digital Studio. These are public machines and files can be erased. While the machines aren’t reimaged on a daily basis, we do reserve the right to reformat machines if needed.

Is there a cost to use these spaces?

Depending upon your usage, there may be a service charge to setup equipment, monitor student usage, facilitate a web conference, record a session, etc. Please contact Learning Technologies & Environments to discuss your options at xt. 6438.

Will you come record and/or edit something for me?
